2. Hosting and Server Log Files
This website is provided through the hosting service Vercel Inc.
When you visit our website, technically required access data is processed. This may include in particular your IP address, the date and time of access, the page or file accessed, browser type and version, operating system, referrer URL, and other technical access information.
This processing serves to provide our website securely, reliably, and free of technical faults, and to detect and prevent misuse and attacks. The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in the secure and reliable provision of our website.
Where personal data is processed outside the European Union or the European Economic Area in this context, this only occurs in compliance with the statutory requirements for international data transfers.
3. Cookies and Similar Technologies
Our website does not use analytics, advertising, or marketing cookies and does not employ any corresponding tracking services. No Google Analytics, Google Tag Manager, Meta Pixel, or comparable tracking takes place.
When you switch the language of the website (DE/EN), we store your selected language locally in your browser (localStorage) for technical reasons. No personal data is stored in the process; the information does not leave your device.
External map content (Google Maps, OpenStreetMap/CARTO) as well as the availability calendar of our booking system Smoobu are not loaded automatically when a page is opened, but only after you have actively activated them by clicking the respective button. See sections 6, 8, and 9 for details.
4. Contact and Booking Inquiries
If you contact us via a contact or booking form, by email, or by phone, we process the data you provide to handle your inquiry and, where applicable, to prepare or perform an accommodation contract.
This may include in particular:
- Name
- Email address
- Phone number
- Requested apartment
- Check-in and check-out dates
- Number of guests
- The content of your message
- Other voluntary information
Where your inquiry is directed at concluding or performing an accommodation contract, processing takes place pursuant to Art. 6(1)(b) GDPR. For other inquiries, processing takes place on the basis of Art. 6(1)(f) GDPR. Our legitimate interest lies in handling and responding to your inquiry.
Submitting an inquiry does not require a separate acceptance of this privacy policy; a corresponding notice is shown directly by the submit button.
5. Form Processing via Formspree
For the technical processing of our website forms (contact and direct booking form), we use the service Formspree, provided by Formspree, Inc. The form only sends your input to Formspree once you actively submit it; simply visiting the page does not trigger any transmission.
When you submit a form, the data you entered is transmitted to and processed by Formspree, to the extent required for the technical handling and delivery of your inquiry. This may include in particular name, email address, phone number, travel dates, information about the requested apartment, and the content of your message.
Processing takes place to handle your booking or contact inquiry, on the basis of Art. 6(1)(b) GDPR or Art. 6(1)(f) GDPR.
Formspree is a provider based in the United States. Where data is transferred to a third country, processing takes place in compliance with the applicable statutory requirements. For further information, see Formspree's privacy policy: https://formspree.io/legal/privacy-policy/.
6. Booking and Guest Management via Smoobu
For managing bookings, availability, and guest communication, we use the property management system Smoobu, provided by Smoobu GmbH. As part of an inquiry or booking, the personal data required for processing may be entered into Smoobu. This may include in particular master and contact data, booking and travel data, communication data, and contract- and billing-related information. We transfer this data manually while handling your inquiry; it is not transmitted automatically when you submit the contact or booking form.
Processing takes place to carry out pre-contractual measures or to perform the accommodation contract pursuant to Art. 6(1)(b) GDPR. Where Smoobu processes data on our behalf, it is engaged as a processor in accordance with applicable data protection requirements.
On apartment and booking pages, we also offer an availability calendar provided by Smoobu. It is not loaded automatically when the page is opened. Only when you click the "Load calendar" button is a connection to Smoobu established; your IP address and other technical data may be transmitted and a cookie may be set. 7. Bookings via Airbnb and Booking.com
Our apartments may also be offered on external booking platforms such as Airbnb and Booking.com. When you visit ludwigscozyescape.com normally, no data is automatically transmitted to Airbnb or Booking.com; our website does not establish a connection to these platforms on its own.
If you book directly through one of these platforms, the processing of personal data there initially takes place under the platform operator's own responsibility. The data required to process your booking may then be transmitted to us and to the systems we use for booking and guest management (see section 6).
Our own processing takes place to perform the accommodation contract pursuant to Art. 6(1)(b) GDPR. For processing by Airbnb or Booking.com, the respective provider's own privacy notices additionally apply.
8. Google Maps
On individual pages (e.g. contact), we offer maps from Google Maps. The Google Maps content is not loaded automatically when the page is opened.
Only when you click the "Load Google Maps" button is a connection to Google established. In particular, your IP address and technical device and browser information may be transmitted to Google. Google may also use cookies or comparable technologies in the process. Activation is based on your prior, conscious decision (Art. 6(1)(a) GDPR). If you do not activate the map, this feature does not connect to Google Maps.

9. OpenStreetMap and CARTO
On the "Locations" page, we also use an interactive map based on OpenStreetMap map data, provided via the map provider CARTO. This map is likewise only loaded after you actively click the "Load map" button.
When loaded, map data is retrieved from OpenStreetMap/CARTO. In particular, your IP address is transmitted to the providers involved. No cookies are set and no tracking script is loaded. Without activating the map, no transmission takes place through this feature.

10. Fonts
The fonts used on this website, "Inter" and "Plus Jakarta Sans", are served locally by our own web presence. Loading the fonts therefore does not establish any connection to Google Fonts or other external font services.
11. Contacting Us via WhatsApp
Our website contains links for contacting us via WhatsApp. When you visit our website normally, these links do not establish any connection to WhatsApp; they are ordinary links without any embedded script.
Only when you actively click the WhatsApp link or contact us via WhatsApp do you use the WhatsApp service. The respective WhatsApp provider's own privacy terms additionally apply. For users in the European Economic Area, the service is provided by WhatsApp Ireland Limited.
Using WhatsApp is voluntary. You can alternatively contact us by phone or email at any time.
12. Retention Period
We generally store personal data only for as long as necessary to handle your inquiry, perform the accommodation contract, or comply with statutory obligations.
Where commercial or tax law retention obligations apply, the affected data is stored in accordance with the statutory requirements. Once the purpose of processing no longer applies and statutory retention periods have expired, the data is deleted.
13. Recipients of Personal Data
Personal data is only transmitted to external recipients where this is necessary for operating our website, handling your inquiry, performing your booking, or complying with statutory obligations. This may include in particular:
- Hosting provider (Vercel)
- Form service provider (Formspree)
- Property management and booking system (Smoobu)
- Booking platforms (Airbnb, Booking.com), if you book through them
- IT and communications service providers
We do not pass on personal data to third parties for their own advertising purposes.
14. Data Transfers to Third Countries
When using certain service providers (in particular Formspree and, where applicable, Smoobu), personal data may be processed outside the European Union or the European Economic Area. Such a transfer only takes place if the statutory requirements are met, in particular an adequacy decision by the European Commission or appropriate safeguards such as standard contractual clauses.
15. SSL/TLS Encryption
For security reasons, our website uses SSL/TLS encryption. This protects data you transmit to us via our website from unauthorized third-party access during transmission.

Subject to the statutory requirements, you have in particular the following rights:

We reserve the right to amend this privacy policy where statutory requirements, the technical setup of our website, or the service providers we use change. The version published on this website at any given time shall apply.
